Job Purpose

An expert responsible for the management and organization of documents kept within the business. 

Position will also be responsible in managing all audits by the way of scheduling, preparation, document retrieval, reporting, and communication with audit personnel. This will include all regulatory body, ISO, and customer audits.

Implement and maintain procedures for the effective management of records and controlled documents, including creation, distribution, retrieval, and disposition, in line with organizational and regulatory requirements.

Facilitate the administrative management of the change process to ensure controlled documents are reviewed, approved, and published accurately, and efficiently.

Manage the physical and electronic inventory of records and documents, ensuring data integrity and availability for business operations and compliance purposes.

Participate in the development and improvement of the document control program by identifying and implementing best practices, processes, and technology solutions.

Responsible for the supervision of plant data support chemist. Ensure that data support has priorities, goals, and responsibilities set and reviewed in a timely manner.

Key Responsibilities

  • Manage all processes related to audits. This will include all regulatory body, ISO and customer audits. The entire process will include communication with auditors, scheduling, document retrieval, investigation and corrective actions for findings, and reporting.
  • Redesign, control, and maintenance of SharePoint: including security and access.
  • Ensure all controlled procedures, SOPs, TMs, forms and other documents are listed on table of contents and location matrices. Any additions, removals, and revisions must be documented and kept up with on all indexes, as well as all physical and digital locations.
  • Establish and maintain an action plan to ensure all procedures are reviewed and updated via the established timeline.
  • Ensure all digital logs and lists are maintained, updated, and archived according to the established plan.
  • Ensure all paper records are scanned in and archived in an efficient manner.
  • Develop a retention schedule that meets global best practices. Work with Iron Mountain to ensure all paper records are stored and/or disposed of properly depending on the requirements.
  • Execute any revisions requested to existing procedures and forms as dictated by department management and ensure the distribution of said changes is handled correctly.
  • Maintain power BI and troubleshoot any issues or revisions.
  • Ensure the company meets all regulatory requirements regarding document control. Update local policies as necessary as requirements change.

Job Requirements

  • Bachelor's degree in business administration or a related field (OR equivalent job experience)
  • Prior experience with data and document management
  • Computer proficiency and data entry skills
  • Thorough understanding of relevant regulatory frameworks and agencies, as well as compliance best practices
  • Be willing to get Certified Records Analyst (CRA) and/or Certified Information Professional (CIP) certification.

Total Compensation

  • The salary range for these skills is $65,000 to $75,000 + 5% annual bonus.
