Job Summary

As the Operations Accounting Specialist, you will be responsible for assisting the Director of Install Controls in auditing contracts to open jobs for the Project Management team and approving contractor invoices for payment upon job closing. Monitoring sales contracts and checking contractor invoices every day will be a key focus of this role. You'll work with project management teams, contractors, and other departments to solve any problems with contracts, invoices, or jobs, so they're ready to be closed.

The ideal candidate will possess critical thinking skills to help facilitate decision-making.

Essential Duties and Responsibilities

  • Oversee the Intake Que in Summit, meticulously reviewing contracts to ensure sales documents align with company standards. Verify that recurring monthly revenue listed in sales documents matches Summit data. Efficiently assign tasks to the Project Management Team for timely execution.
  • Spearhead the approval process for contractor invoices daily.
  • Proactively engage in negotiating miscellaneous charges with contractors when necessary, demonstrating adept negotiation skills to optimize cost-effectiveness for the company.
  • Demonstrate sound judgment and decision quality in resolving issues, consistently prioritizing the company's best interests, and adhering to established protocols. Employ responsible decision quality to resolve/clear issues.
  • Facilitate seamless communication by effectively conveying issues and their resolutions to relevant departments. Foster collaboration and alignment across teams to ensure smooth operations and timely resolution of issues.
  • Lead the generation and analysis of weekly reports, including identifying missing invoices and compiling a list of weekly jobs to be transitioned to the closing team. Ensure accuracy and timeliness in report delivery to support informed decision-making and operational efficiency.

Qualifications

  • Ability to understand basic contract language to certain account terms and revenue.
  • Ability to apply critical thinking skills to analyze complex issues and situations, enabling informed decision-making and problem-solving. Capable of evaluating multiple perspectives and considering implications to identify optimal solutions.
  • Possess intermediate level accounting skills, including a comprehensive understanding of budgets, returns, and invoicing processes. Able to interpret financial data accurately and effectively communicate financial insights to support decision-making.
  • Exhibit strong decision-making capabilities, consistently demonstrating good judgment and discretion in resolving errors and discrepancies. Utilize a systematic approach to assess options, evaluate risks, and implement solutions that align with organizational objectives.
  • Skilled in communicating complex information and driving resolutions through clear and concise communication. Capable of articulating ideas, issues, and solutions effectively to stakeholders at all levels, fostering collaboration and alignment across teams.
  • Possess exceptional attention to detail, ensuring accuracy and precision in all tasks and deliverables. Thoroughly review documentation and data to identify errors or inconsistencies, maintaining high standards of quality.
