Position Summary:
The HR Co-ordinator reports to the Human Resources Manager and is responsible for the successful performance of the HR Department by ensuring a professional, friendly and highly efficient service experience is delivered to its key stakeholders.
Person Specification:
Two years’ experience in a similar role or a transferable skill set
CIPD qualified or working towards
Must have strong organisational and office administrative skills
Must be highly personable with the ability to build relationships at all levels of the business
Must have a meticulous attention to detail
Must be able to work on their own initiative
Must have excellent communication skills adaptable to a wide range of audiences
Must be proficient in IT and Microsoft Office
Duties and Responsibilities:
Create and sustain a work environment that embraces the HOST mission, culture and values and consistently role models those behaviours
Ensures fair and equitable treatment of all Team Members in line with HOST’s equality and diversity policies and procedures.

Practiced in HR administration and procedures; supports the department and ensures smooth day-to-day running
Supports the end-to-end processes of the team member journey from job application to exit interview
Is the initial contact for all HR enquiries providing professional and timely advice at all times
Implements and promotes team member reward and recognition and wellbeing schemes to drive team engagement
Updates management information on a regular basis and keeps updated trackers of HR KPI’s
Supports in all ER processes by scheduling meetings, preparing letters, booking meeting rooms, collating investigation packs, attending meetings and providing advice where appropriate.
Takes detailed notes at ER meetings ensuring a fair representation is made of the conversation taking place and produces typed and verified copies in a timely manner
Management of the onboarding process for all new starters into the business ensuring all right to work checks are completed prior to start date and evidence filed on personal files
Ordering of uniform/ID badges for all new starters and ensuring budgetary requirements are met
Processing of all leavers including removal from relevant systems and return of all company property
Supporting the recruitment process by advertising job roles, short-listing CV’s, scheduling interview dates and assisting the hiring managers at the interviews themselves
Preparation of audit data as required
Drafting and publishing of all HOST team comms across the multiple communication channels in line with brand standards
Management of the BPSS vetting process for all HOST team and subcontractors providing support and guidance to candidates where needed to ensure the application is completed correctly
Facilitation of the random drug and alcohol testing process alongside security management
Supporting the management of short-term and long-term absence processes aiming to reduce sickness absence costs where possible
Referring team members to occupational health where appropriate and supporting the referral process
Supporting probationary reviews, ensuring meetings are scheduled on time and process is followed
Maintenance of the team member files ensuring all information is stored in line with HOST privacy notices and GDPR
Ensuring managers are following due process when managing people issues
Supporting with inductions and the training department when required
Carry out exit interviews with leavers and follow up on any feedback when required
Scanning and filing of documents
Maintenance of information within the Flow and Fourth software systems
Ensures that all team members are knowledgeable as to the requirements of the relevant SOPs (Standard Operating Procedures) within the HR department
To understand, implement and contribute to their role within the objectives outlined in the Occupational Health and Safety, Environmental and Quality Policy Statements
Any other duties reasonably required of you to support the department or business as needed
