Core Accountabilities:

 

  • Assist the CAAPS Management Team in the collection, collating and distribution of Trustee meeting packs on a timely basis, utilising both e-mail and the Scheme’s e-governance system (Diligent Boards) to do so
  • Assist in monitoring and maintaining Diligent Boards, ensuring documentation remains complete and up to date as well as addressing any technical issues raised by Trustees and Scheme advisers
  • Assisting in liaising with CAAPS Management Team, Trustees and Scheme advisers to co-ordinate meetings, ensuring calendar invites are issued and venues are booked. To act as host for online and hybrid meetings managing waiting rooms
  • Sourcing accommodation and travel for the CAAPS Team and Trustees as required
  • Assisting in audit processes by uploading documentation to the relevant secure portals and the drafting and distribution of authority letters to the investment managers
  • Collating documentation to support the quarterly VAT reclaim process
  • Assisting in document retention, maintaining, organising, and consolidating for the London Office, ensuring statutory requirements are met
  • Responsible for the logging, scanning, filing and distribution of post received by CAAPS
  • Providing administrative and secretariat support to the Chief Operating Officer and Finance & Treasury Manager as required

Additional Information
 

For many appointments within the CAA, these roles require access to operationally sensitive infrastructure and/or Nationally Protected information. For these roles the post holders must undergo National Security Vetting and achieve the appropriate level of clearance.

 

To be vetted we will usually expect a reasonable period of residency in the UK so that meaningful checks can be undertaken. For this role this will need to be 5 years.
