Dentons US LLP is currently recruiting for an experienced Legal Administrative Assistant for our Washington, DC office. This position will provide administrative and legal support to our lawyers in our Real Estate and Government Contracts Practice Groups working in a collaborative environment.
Responsibilities
Draft, edit, and format documents in PowerPoint, Word, and Excel; including presentations and confidential materials.
Work with timekeepers, input time entry, file electronic court filings, pleadings, and process mail
Prepare closing binders, hard copies and interactive PDF copies for real estate and loan transactions
Prepare signature packages for large scale real estate and loan transactions
Act as a liaison between partners, attorneys and departments throughout the Firm, and provide executive level assistance and legal support to Senior Partner and Associate level attorneys with organizing and maintaining their workflow.
Heavy calendaring in Outlook as required by assignment; manage contacts lists and send invitations. Act as a proactive gatekeeper of attorneys’ calendar and time
Reviews and processes invoices using Chrome River; assist with entering time entries, expense reports and other personnel records, and billing as needed.
Interface and establish positive business relationship with clients (may be highly confidential and require discretion). Build sustainable relationships of trust through open and interactive communication..
Arrange, coordinate and organize travel with support from onsite agents and the online travel booking tool.
Schedule and coordinate internal and external meetings and conference calls.
These duties may be ongoing or ad-hoc in nature
Other duties as may be assigned to fully meet the requirements for this position
Experience & Qualifications
5+ years’ experience within a large organization, law firm, or professional services.
High administrative and organizational skills, including excellent verbal and written communication skills.
Proficient in legal administrative tasks including, but not limited to, document preparation, filing, time entry, expenses, telephone contact, travel arrangements, and calendar maintenance
Exceptional organizational skills, attention to detail, ability to prioritize and multi-task a must.
Ability to work in a high-volume environment
Excellent interpersonal, written and oral communication skills; excellent client service
Intermediate to advanced skills in Microsoft Suite including, Outlook (including utilization of styles and pleading to format documents); Excel, Word; and Adobe/Nuance; knowledge of Chrome River, a plus
Licensed District of Columbia Notary experience a plus.
Flexibility to work overtime, as required
