The Facility Manager is responsible for all FM operations, planned maintenance and reactive works at the Client Corporate Facility, Manchester. The FM is responsible for the delivery of all services towards our client according to the Global Master Services Agreement (MSA), Service Level Agreements (SLA’s) and Key Performance Indicators (KPI’s).Responsible for the services Newmark provide across hard and soft servicesAct as the key interface between the different Client business functions, departments and supply chain partners, providing guidance and support to ensure supply chain vendors carry out their obligations and responsibilities in a manner consistent with high-quality operational performance, financial control ensuring outstanding customer service to building occupiers at all times.Reporting to the Senior Facilities Manager, the role has no direct reports but is part of and supported by the wider EMEA Facilities Team.
The day-to-day operation and compliance with the contract objectives
Ensure that the property and vendors comply with all health & safety legislation, local environmental requirements, adherence to company and client policies, and maintaining records.
Accurate and timely management reporting
Manage and supervise supply chain vendors.
Plan and organize planned preventative maintenance programs, reactive work order requests, FM Projects
In-depth knowledge of United Kingdom regulatory requirements
Drive continuous improvement opportunities to optimize operational and financial performance and opportunities.
Conduct risk analyses and control measures in according with the operational “Ways of Working”
Supervise the safety, health and welfare aspects of the customer, employees, members of the public and FM supply chain.
Responsible for the site budget, cost management and interfacing with finance team members
Management of supply chain vendors and any specialist sub-contractors
Operational management, coordination, and monitoring of contracted suppliers in the daily execution of assignment
Own the Service Activation process from creation to invoicing.
Maintaining, adjusting, correcting, and updating the FMIS system TRIRIGA
Focal point of contact for suppliers during the practical implementation of work at the location
Management of all aspects of safety, health and well-being and interfacing with site based Environmental Health & Safety personnel.
Actively participate in safety operations and inspections
Support the Senior Facilities Manager in the preparation and management of the annual operating budget and submit reports upon request.
Support the Senior Facilities Manager in identifying and implementation agreed cost-saving initiatives.
Preparing of financial reports and budget management
Act as a contact point for clients, subcontractors and vendors
Ensure management systems are kept up to date.
Ensure all complaints are handled correctly and in a timely manner.
Review vendor invoices for accuracy and adherence to purchase order content and budget obligations.
Follow up the contract work orders ensuring the supplier performs the work in accordance with contract requirements.
Actively participate in external or in-house activities, meetings, organizational events etc.
Undertake other facilities related tasks that may arise from time to time at the direction of the Senior Facilities Manager
