Role description:

Based in Central Manchester, Arcadis Architecture & Urbanism Manchester is searching for an Office Coordinator to join the team. The nature of this role is such that it is Full-time and office based. 

You will play a vital role at the heart of the organisation, overseeing both internal and external communications, supporting the day-to-day activities associated with running an office and providing business and finance administrative support to ensure the office runs smoothly.

 

Role accountabilities:

  • Greet and welcome guests to the studio in a friendly and professional manner, providing refreshments where applicable
  • Communicate between the teams and direct visitors to the appropriate person
  • Answer calls in a timely fashion, screen and forward incoming phone calls, taking and forwarding messages
  • Ensure reception area is tidy and presentable, with all necessary stationery and materials in place
  • Provide basic and accurate information in-person and via phone / email
  • Receive, sort and distribute daily mail / deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook)
  • Order front office supplies and keep inventory of other office kitchen stock
  • Perform other administrative duties such as filing, photocopying, transcribing, formatting documents and excel spreadsheets
  • Arranging couriers and sending documents / parcels
  • Sending out weekly timesheet reminders to all teams
  • Assisting Office Manager and Architects with administration and research tasks
  • Ensuring all meeting rooms are clean, tidy and fully stocked with supplies and necessary equipment – additionally that refreshments and AV equipment are ready to use
  • Ordering lunch and refreshments for client and team gatherings and subsequently clearing these spaces
  • General housekeeping duties maintaining coffee machines, loading and unloading the dishwasher
  • Updating Cosential and internal systems as needed
  • Assisting with internal wellness incentives, company events and third-party collaborations

 

Qualifications & Experience:

  • An administration, hospitality and / or customer service background 
  • Strong communicator with individuals at all levels
  • Computer literate and fully proficient in the Microsoft office suite eg: Word, Excel, Powerpoint
  • Positive can-do attitude, exhibiting confidence and taking initiative when required
  • Strong attention to detail and client (internal and external) focused
