Job Summary:
We are looking for a highly professional and impeccably presented Senior EXECUTIVE Admin for a high-profile client in Dubai. The Senior Admin Executive will oversee the daily administrative operations of the office, including managing drivers and supporting administrative staff. This role will ensure smooth office functioning, maintain high standards of office administration, and supervise the performance of junior staff.

Key Responsibilities:

1. Administrative Operations Management:
• Oversee the daily administrative functions ensuring smooth operations across the office.
• Supervise and coordinate with administrative staff to ensure office procedures are followed efficiently and effectively.
• Manage office supplies ensuring appropriate stock levels and placing orders as necessary.
• Organize and maintain office files, documents, and records both digital and physical.
• Handle confidential information with discretion and ensure security of sensitive documents.
2. Driver and Logistics Management:
• Manage a team of drivers ensuring they are scheduled efficiently for daily assignments including transportation for the client staff or other operations.
• Maintain driver logs, monitor driving patterns, and ensure timely and safe completion of all trips.
• Conduct regular checks on vehicle maintenance and cleanliness to ensure compliance with safety standards.
• Coordinate transportation schedules and ensure drivers meet the client's high standards of professionalism and service.
• Ensure the efficient and timely transportation of clients' employees and goods as required.
• Address any driver-related issues or incidents and report them to senior management.
3. Staff Supervision and Coordination:
• Supervise, train, and evaluate the performance of administrative support staff including receptionists, clerks, and other office personnel.
• Foster a positive and professional work environment that enhances team productivity and morale.
• Delegate administrative tasks as necessary and ensure staff adhere to office procedures and deadlines.
• Ensure proper office coverage including scheduling and assisting with any HR-related administrative tasks such as leave management and attendance tracking.
4. Client Coordination & High-Profile Service Management:
• Serve as a liaison between the client and office staff ensuring that administrative and logistical operations meet the client's high standards.
• Organize client meetings including travel arrangements, room setups, and catering as necessary.
• Ensure the office meets the client's service expectations including any special requests related to transportation, office operations, or administrative functions.
• Address any client complaints or concerns related to administrative services promptly and professionally.
5. Budget and Expense Control:
• Assist in monitoring and controlling officer-related expenses including vehicle maintenance, fuel, and general office supplies.
• Process invoices, track payments, and ensure that office expenses remain within budgetary constraints.
• Collaborate with the finance team to ensure accurate and timely processing of all administrative and driver-related financial transactions.
6. Reporting and Documentation:
• Prepare weekly and monthly reports related to office operations, transportation logistics, and staff performance.
• Keep detailed records of vehicle maintenance, driver schedules, and staff attendance.
• Provide regular updates to senior management on the status of key administrative operations and driver team performance.
7. Health Safety and Compliance:
• Ensure compliance with health and safety regulations particularly related to transportation and vehicle maintenance.
• Ensure that all staff, including drivers, follow company policies and adhere to local regulations regarding traffic laws and vehicle standards.
• Ensure that all office operations comply with the client's security protocols and company policies.

Qualifications & Skills:

Education:
• Bachelor's degree in Business Administration, Management, or a related field.
• Additional certifications in logistics operations or team management would be an advantage.

Experience:
• Minimum of (3 to 5 years) of experience in Executive Administrative roles with at least 2 years in a senior or supervisory capacity.
• Proven experience in managing office operations and staff with a focus on drivers and logistics.
• A strong hospitality background person to manage the junior staff. Good personality and attitude organized.
• Experience in working with high-profile clients or managing VIP services is a significant plus.

Skills:
• Strong leadership skills with the ability to manage and motivate teams.
• Excellent organizational and multitasking abilities.
• Ability to prioritize tasks, handle multiple responsibilities, and work under pressure.
• Strong communication skills both written and verbal with the ability to interact with clients, vendors, and staff professionally.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
• Experience in budget management, expense tracking, and cost control.
• Attention to detail with a proactive solutions-oriented approach.
