Job Summary:
We are seeking a highly organized and detail-oriented female legal assistant/admin to support the Legal Department in a fast-paced real estate environment for one of our luxury villa real estate companies in Dubai. The ideal candidate will have a strong administrative background, be proficient in Microsoft Office programs (Word, Excel, etc.), and thrive in a dynamic legal environment.
Key Responsibilities:
• Assist with the organization, preparation, and management of legal documents, files, and case materials.
• Support the legal team with administrative duties, including managing calendars, scheduling meetings, and preparing documents for clients, courts, and legal proceedings.
• Perform document control tasks, including reviewing, sorting, indexing, and filing electronic and hard copy documents.
• Maintain up-to-date and accurate records for ongoing legal matters.
• Draft and format legal documents, correspondence, and reports using Microsoft Word and Excel.
• Ensure that all documents are processed, reviewed, and filed in a timely manner.
• Coordinate communication between clients, attorneys, and external parties.
• Assist in the preparation and filing of legal documents with courts and regulatory bodies.
• Manage office supplies, equipment, and other administrative resources as needed.
• Maintain confidentiality and handle sensitive information appropriately.
• Perform other administrative tasks as required by the legal team.
Skills and Qualifications:
• Proven experience as an administrative assistant, legal assistant, or in a similar administrative role.
• Proficiency in Microsoft Office programs (Word, Excel, PowerPoint, Outlook, etc.).
• Excellent organizational and time management skills with the ability to handle multiple tasks and deadlines.
• Strong attention to detail and accuracy in document preparation and filing.
• Excellent verbal and written communication skills.
• Ability to maintain a high level of confidentiality and professionalism.
• Ability to work well independently and as part of a team in a fast-paced environment.
• Prior experience in a legal or document control role is a plus but not required.
Education and Experience:
• High school diploma or equivalent required; Associate's degree or higher in a related field is a plus.
• 3-4 years of experience in an administrative role preferably within the legal industry.
