Work within Document Services operation in any of the following areas
Mailroom
Inventory
Preparation
Scanning
Quality Assurance / Control
Main responsibilities and Opportunities:
Work as part of a team to open Mailroom post, receipt documents, identify and verify original documents.
Knowledge of processing original documents and the verification process, along with fraud awareness.
Prepare and accurately record outgoing post, receipt cheques and index documents for transfer to Client systems.
Follow established guidelines and procedures for receiving, documenting, and scanning customer documents for processing.
To complete various forms of scanning, including flatbed and automatic document feeder.
To complete preparatory work for scanning and sorting of documents.
Processing of electronic documents in to a document management system.
To maintain equipment used carrying out tasks such as cleaning and calibration of scanners
Undertake quality assurance and quality checking of documents in accordance with customer service specifications.
Full understanding of Document Services and their Service Level Agreements for individual customers, and the commitment this entails.
Ensure work is processed to targets set by management and in line with agreed processes and procedures, ensuring maximum productivity and quality is achieved
Accurately complete time sheets
Batch logging of work as and when required.
Maintain a thorough knowledge of all processes used within each department
Provide training to less experienced staff when required.
Undertake activities within the warehouse including loading and unloading of vehicles, box movement and recording data in the warehouse systems
Operate within Company data security and H&S procedures
Follow company procedures, identify areas which are problematic and raise to line manager for corrective action to be taken as necessary
Qualifications
Essential
GCSE Math and English or equivalent
Technical skills – to use IT equipment –including PC and scanning /MFD devices
Microsoft Office knowledge including Excel, Access, Word
To work with controlled documents ensuring security of original documents are maintained correctly
Good numeracy and written skills.
Fast and accurate data entry skills.
Desirable
Working in a highly focused performance driven environment
Experience in a scanning, mailroom or similar office type environment.
