Job Summary
The IT Operations Assistant will work closely with the IT Manager to support the daily operations, maintenance, and enhancement of the organization’s IT infrastructure. This role encompasses responsibilities ranging from network, router, and switch configuration, telephone, and CCTV system maintenance to supporting web design, cloud services, Microsoft 365, Dynamics 365, cybersecurity initiatives, and internal process reviews. The ideal candidate will have a broad technical skill set and be proactive in identifying and resolving issues to ensure uninterrupted IT operations.
Key Responsibilities
IT Systems & Network Support
• Network, Router & Switch Configuration: Assist in the setup, configuration, support, and maintenance of routers, network switches, LAN/WAN infrastructure, and firewall devices.
• Telephone Systems: Support the installation, configuration, and troubleshooting of VoIP and traditional telephone systems.
• CCTV & Security Systems: Assist in the installation, maintenance, and troubleshooting of CCTV systems and security devices.
• Printer & Scanner Support: Provide maintenance and technical support for printers, scanners, and other peripheral devices.
Cloud & Application Management
• Microsoft Office 365 & Tenant Management: Deliver comprehensive support for Office 365 services, including tenant ID management.
• Dynamics 365 Support: Assist with the implementation, configuration, and ongoing support of Dynamics 365 projects.
• Active Directory & Group Policy: Support the administration, maintenance, and management of Active Directory servers and Group Policies.
Web & E-commerce
• Website & E-commerce Design: Contribute to the design, development, and maintenance of the company website and e-commerce platforms.
• Database Administration: Assist in managing databases and ensuring data integrity across web applications.
Cybersecurity & Antivirus
• Cybersecurity Initiatives: Support cybersecurity efforts including monitoring, threat assessment, and the implementation of security measures.
• Antivirus Implementation: Assist in the installation, configuration, and maintenance of antivirus solutions.
IT Procurement & Process Improvement
• Procurement & Installation: Aid in the procurement, installation, and configuration of IT systems and equipment.
• Internal Process Review: Participate in reviewing and enhancing internal IT processes to improve operational efficiency.
• Documentation: Maintain accurate records of IT assets, configurations, purchase orders, and maintenance logs.
Backup Management
• Data Backup: Perform daily, weekly, monthly, and early backup processes to ensure data integrity and security.
Qualifications & Skills
Education:
• Diploma or Degree in Information Technology, Computer Science, or a related field.
Technical Expertise:
• Strong knowledge of routers, network switches, LAN/WAN networks, and TCP/IP protocols.
• Experience in configuring and troubleshooting VoIP and telephone systems.
• Familiarity with CCTV system setup and security device maintenance.
• Experience with website design, e-commerce platforms, and database administration.
• Proficiency in Microsoft Office 365, including tenant management and related cloud services.
• Exposure to Dynamics 365 project implementation and support.
• Understanding of Active Directory and Group Policy management.
Cybersecurity:
• Basic understanding of cybersecurity best practices and antivirus solutions.
Soft Skills:
• Excellent troubleshooting, communication, and organizational skills.
• Ability to work under pressure and manage multiple tasks efficiently.
Certifications (Preferred but not mandatory):
• Cisco (CCNA/CCNP) or Microsoft (MCP/MCSE) certifications are a plus.
Additional Responsibilities
• Perform routine IT maintenance tasks on a daily, weekly, and monthly basis.
• Ensure consistent backup operations, including early backups as required.
• Collaborate with team members and cross-functional departments to ensure smooth IT operations.
• Provide timely and effective technical support to staff across the organization.
• Stay updated on emerging technologies and best practices to continuously improve IT services.
